EventPlanners ("we", "us" or "our"), developed by WellSmart Automations, operates the EventPlanners mobile application (available on Google Play) and the website at www.eventplanners.app. This Privacy Policy explains how we collect, use, store and protect your information when you use our services.
When you create an account we collect your name and email address (from Google sign in or entered by you), an optional phone number and an optional profile photo. If you sign in with Google, we receive your name, email address and profile picture from your Google account.
When you create events we collect event details such as title, date, venue name and address; guest names and WhatsApp phone numbers that you enter; RSVP responses submitted by your guests; custom questions and answers you configure; and seating, schedule, checklist and budget information you enter.
If you choose Import, From Contacts in an event's guest list, the app asks for permission to read the contacts on your phone so it can show you a list to choose from. This list stays on your phone. Only the names and phone numbers of the contacts you select are saved to your event as guests. Your full contact list is never uploaded.
Photos and videos uploaded by you (the event host) or by your guests through the gallery feature are stored on our servers. Uploaded images are compressed for storage and delivery, and we remove location and camera details (EXIF metadata) from photos, keeping only the orientation. Photos uploaded by guests to a Live Gallery are checked automatically for explicit content (see Section 5): a photo that fails the check may be refused when it is shared, and anything flagged after it is shared is hidden until the host reviews it; in a Host Approval gallery the host approves every guest upload first.
We automatically collect your device type and Android version, a Firebase Cloud Messaging token for push notifications, app usage analytics (Firebase Analytics) such as screens viewed and features used, and crash reports (Firebase Crashlytics) to improve app stability. Crash reports are linked to your account ID only, never to your name or email address. We do not collect precise GPS location. Locations shown in the Live Guest Tracker are based only on the city or area that guests type in when they reply.
All payments are processed by Google Play Billing. We never receive or store your card number, billing address or other payment details. For each purchase we keep the Google Play order number, product and plan, price and currency, purchase date, purchase token and the email address of your account.
When you contact support from the app we collect your message, the category you choose and technical details (app version, device model, Android version) to help us fix the issue. When you report a photo, video or AI text with the in app Report button, we receive the report reason, any note you add, the reported content and your account ID and email address so we can follow up.
If you use voice typing, your phone's own speech recognition service turns your speech into text. We receive only the resulting text, never the audio.
We use the information we collect to provide, maintain and improve EventPlanners; create and deliver invitations and manage RSVPs; store and show event photos and videos to the people allowed to see them; send push notifications and emails about RSVPs, guest uploads, reminders, account verification and upcoming event deletion; process subscriptions through Google Play Billing; generate text with the AI Writer when it is available and you ask for it; review reported content and keep the platform safe; provide customer support; and detect and prevent fraud or abuse.
If you are in the European Economic Area or the United Kingdom, our legal bases are: contract performance, the processing needed to provide our service to you; legitimate interests, such as improving the service, keeping it safe and preventing fraud; legal obligation, for example keeping purchase records for tax purposes; and consent, for optional features such as notifications, which you can withdraw at any time in your device settings or in the app.
We never sell, rent or trade your personal information. We have no advertising partners, no data brokers and no cross site trackers.
With event guests: guest names and RSVP responses are visible to the event host and any co hosts. Photos the host makes public are visible to other guests of the same event. A guest's name can appear on their personal invitation page.
With service providers: we use the providers listed in Section 5, which process data only on our behalf and only to provide their service to us.
For legal reasons: we may disclose data if the law, a court order or a government authority requires it, or to protect the rights, safety or property of our users, the public or EventPlanners.
The app asks only for what it needs: Internet, required for everything; Notifications, to tell you about RSVPs, uploads and reminders (you can say no or turn them off later); Contacts (optional), only when you choose to import guests from your phone; and, on Android 9 and older only, Storage, to save the photos and videos you download from your event gallery to your phone. To add photos and videos the app uses Android's system photo picker, so it only ever receives the items you choose and has no access to the rest of your gallery. You can manage permissions in your device settings at any time.
Data is stored on Google Firebase infrastructure, mainly in Google data centres in Asia, and media files on Cloudflare's network. Data is encrypted in transit (TLS 1.2 or newer) and at rest. Passwords are stored only as one way hashes by Firebase Authentication and cannot be read by anyone, including our team. Security rules make sure users can only reach their own data. Because our providers operate worldwide, your data may be processed in other countries; we only use providers that protect it to the standards described in this policy.
You can see and correct your data in the app's Profile, Settings and event screens; export your guest lists and your account data from the app; delete single photos, guests or events, or your whole account; and withdraw consent for optional processing such as notifications.
To delete your account, use Settings, then Delete My Account in the app, or follow the steps at eventplanners.app/delete-account, which also explains how to ask us by email.
For any other request, or for a full copy of your data, contact us at the email below. We reply within 30 days.
If you live in California, you have the right to know what personal information we collect and how we use it, to ask us to delete it, and not to be treated differently for using these rights. We do not sell or share personal information as those terms are defined by the CCPA.
EventPlanners is not meant for children under 13 (or under 16 in the EEA and UK). We do not knowingly collect personal information from children. If we learn that a child has given us personal information, we delete it promptly. If you believe a child has given us their data, please contact us.
Our web invitation pages use only essential browser storage, for example to remember that you already replied. We do not use advertising cookies or cross site tracking.
We may update this Privacy Policy from time to time. We will post the new version on this page and update the date at the top. For important changes we may also let you know in the app.
